Notes to Contributors

Submit manuscripts by email, in MS Word, paginated with 1.5 or double spacing, to the Editorial Secretary, saje@up.ac.za.

Submission letter. This letter must include a statement that the manuscript is the authors’ own work and has not been submitted or accepted for publication elsewhere.

Evaluation. At least two assessors referee each manuscript. A blind review process ensures complete anonymity between authors and referees.

Copyright. Copyright Law requires permission to quote from or reproduce substantial portions of previously published material. Please obtain such permission before submission. Previously published figures or diagrams should include acknowledgement of the source and copyright in the caption.

Title page. This first page should include the title of the manuscript, centered, upper case, bold, 14pt, the names of all contributions, caps 10 pt, a short biography stating affiliation, physical address and email for each author.

Abstract page should contain, the title, excluding the author’s name to facilitate the blind review process, the abstract, between 50-200 words in 10-point font, which provides a concise statement of intentions, results and conclusions. References must not appear in the abstract. The word abstract in caps, bold, followed by a stop.

Text format. Each paragraph indented.

Main heading: No numbering, caps, bold, centred, space above and below, 10 pt.

Sub-heading: Bold, lower-case, left aligned, space above, 11 pt.

Sub-sub-heading: Italics, lower case, left aligned, 11 pt.

Font. Times New Roman must be used throughout, including equations, figures and tables.

Tables. Number in Arabic numerals, caption located above the table, left-justified, initial cap, non-bold in 10 pt. Contents of table 8 pt. Source reference must be below the table. The table must not be larger than a single page of the journal.

Figures. Write in full in text. All illustrations, graphs and maps called Figures and included in manuscript. Excel preferred software. Number in Arabic numerals with caption located beneath the illustration, left- justified with source reference. Must not be larger than a single page, preferably ˝ page or less, and contain lettering that is legible after reduction in size. Scanned figures not permitted because of printing difficulties. Use only black and white with no pattern fills in bar charts.

References. In-text references cited with parenthesis using the author/date style: Examples: (Smith, 2004) or (Smith, 2004a; 2004b) or (Smith and Jones, 2005) or (Smith, et al. 2006) when citing more than two authors in a single paper or Smith (2003) noted that…. Give page numbers when providing direct quotations (Smith, 2004: 36). Where there is more than one reference, order by date with the earliest date coming first (Smith, 1976; Jones, 1998).

Reference list, placed at the end of the text, typed in alphabetical order of authors using 9 pt font.

Quotations.  Use single quotation marks for quoted material within the text; double quotation marks for a quote within a quote. Use three leader dots if there is a mid-sentence break or if the break follows a new sentence. More than 40 words must be indented from the left margins, be justified, line spacing above and below with 11-point font and no quotation marks.

Equations. Centered with a space above and below and numbered in Arabic numerals.

Footnotes. Keep to a minimum.

Acknowledgment (no plural). Place before references in main heading format using third person.

Style.

Spacing.  A single space is used after a full stop, comma, colons, semicolons and before a left parenthesis. No space is placed before a question mark.

Capitalization. Keep to a minimum using lower case for words such as government, church, city, state, north, south.

Italics. Use for the titles of books, journals, newspapers, plays, films, ships, et al. Otherwise keep to a minimum.

Numerals. Spell out words under 10. Use numerals for measurements (25 km or 3 years old). Spell out numbers that begin a sentence. Use the percentage sign only in tables and figures and within parentheses. Spell ‘percent’ as one word using a numeral for the number. 

Dates.  The plural of a year has no apostrophe, e.g. 1960s not 1960’s. Dates set out as follow: 15 July 1939 (no commas). Use twentieth century not 20th century.
